Who we are

Accounting Hero LLC (“Accounting Hero,” “we,” “us”) is a Georgia limited liability company and CPA firm located at 7553 Macon Highway, Suite B, Watkinsville, GA 30677. This policy covers the website at myaccountinghero.com and the forms on it. It does not cover the separate client portal, engagement letters, or the work we do for clients, which are governed by the engagement agreement you sign with us.

Information you give us

You can browse this website without telling us who you are. We collect personal information only when you choose to share it:

• Contact form. Your name, email address, phone number, business name, the type of help you are looking for, and anything you write in the message field.
• Tax CLEAR Check and Business CLEAR Assessment. Your answers to the assessment questions, your result, and the name and email address you enter to receive it.
• Phone calls. If you call us, we keep ordinary notes of the conversation so we can follow up.

Please do not send Social Security numbers, tax identification numbers, bank or card numbers, passwords, or tax documents through this website. Once you become a client we exchange sensitive records through a secure client portal, not through web forms or email.

Information collected automatically

Like most websites, we and the service providers below collect technical information when you visit: pages viewed, links clicked, approximate location derived from your IP address, browser and device type, referring website, and the date and time of your visit. We use this to understand how the site is used, to fix problems, and to measure whether our marketing works. We do not use it to identify you by name unless you have given us your details through a form.

Cookies, analytics and tracking

We use, or plan to use, the following tools. Each may set cookies or similar identifiers in your browser:

• Google Analytics 4 (Google LLC) for aggregate traffic and conversion reporting. Google’s practices are described at policies.google.com/privacy. You can opt out with the Google Analytics opt-out browser add-on.
• Microsoft Clarity (Microsoft Corporation) for heat maps and session replays that show how visitors move through pages. Replays mask text you type into form fields. Microsoft’s practices are described in the Microsoft Privacy Statement.
• Conversion and visitor-identification tools. We may add tools that help us attribute inquiries to the marketing that produced them, including services that attempt to match website visits to a business or professional profile. If we adopt such a tool we will list it here, and it will be subject to the opt-out choices below.
• Cloudflare hosts and protects this website and may set security cookies and keep short-term request logs to block abuse.
• SMTP2GO delivers the emails generated by our forms, including the copy of your assessment result sent to you.

You can block or delete cookies in your browser settings, and most browsers let you refuse third-party cookies entirely. The website will still work, though some measurement features will not. We honor Global Privacy Control signals where the applicable law requires it.

How we use information

• To respond to your inquiry and schedule a conversation about your tax or accounting needs.
• To send you the result of an assessment you completed.
• To follow up about the services you asked about. If you tell us you would rather not hear from us, we stop.
• To run, secure, and improve the website and understand which pages and campaigns lead people to contact us.
• To comply with professional, legal, and record-keeping obligations that apply to a licensed CPA firm.

What we do not do

• We do not sell your personal information, and we do not rent or trade our contact lists.
• We do not publish a general email address on this website, and we do not add you to a newsletter unless you ask to join one.
• We do not use information from this website for automated decisions that have legal effects on you.

Who we share it with

We share personal information only with service providers that help us run the website and respond to you (hosting, email delivery, analytics, scheduling, and our practice-management software), each bound to use it only on our behalf; with professional advisers such as our attorney or insurer when needed; and when the law, a court, or a licensing board requires it. If Accounting Hero is ever sold or merged, client and inquiry records would transfer to the successor under the same protections.

Confidentiality as a CPA firm

Information you give us once you become a client is protected by the confidentiality rules that apply to Georgia CPAs and, for tax return information, by Internal Revenue Code §7216. Those protections are broader than this website policy and are set out in your engagement letter.

How long we keep it

Website inquiries and assessment results are kept for as long as needed to respond and to keep a record of prospective-client contact, generally no more than three years after our last contact with you. Client records are kept according to the retention schedule in your engagement letter and applicable professional standards. Analytics data is kept for the retention period configured in each tool, currently 14 months for Google Analytics.

Security

The website is served over HTTPS. Form submissions travel encrypted to our email system, and hidden spam traps and bot checks reduce abuse. No method of transmission over the internet is completely secure, which is why we ask you not to send sensitive identifiers through the website.

Your choices and rights

You can ask us what personal information we hold about you from this website, ask us to correct it, or ask us to delete it, subject to records we must keep by law or professional rule. You can withdraw consent to marketing follow-up at any time. To make any of these requests, use the contact form or call (706) 705-9880. We will respond within 30 days. Residents of states with privacy laws that grant additional rights can exercise them the same way, and we will not treat you differently for doing so.

Children

This website is for adults and businesses. We do not knowingly collect information from anyone under 18. If you believe a minor has submitted information, contact us and we will delete it.

Links to other sites

We link to outside resources such as IRS and Georgia Department of Revenue pages, scheduling tools, and our Google Business Profile. Those sites have their own privacy practices, which we do not control.

Changes to this policy

We will update this page when our tools or practices change and will revise the effective date at the top. Material changes to how we use information you have already given us will be communicated to you directly.
